Confirm W-2 Info in MyU in Early January

We have a few housekeeping items to help make your 2023 tax preparations go smoothly. 

Please Double-Check Your W-4 Information 

While the IRS does not require employees to file a new W-4 each year, it is a good idea to review your current W-4 as we move into a new tax year. In MyU, go to the My Pay tab and click on W-4 Tax Information near the bottom of the page. If you need help accessing your W-4, email or call the OHR Contact Center at ohr@umn.edu, 612-624-8647, or 800-756-2363. In accordance with IRS regulations, the University cannot provide personal tax advice. For issues with your personal taxes, contact a tax adviser or the IRS. 

Opt in to Receive Your W-2 Exclusively Online 
W-2 forms will be available before the end of January. With reports each year of W-2 forms being stolen from the mail, we strongly encourage you to opt in to receive your W-2 exclusively online and not have it mailed to you. Federal regulations require that employees give their consent if they want to get their W-2 only in an electronic format. You can do that in
MyU by following the instructions below. Once you consent, it carries forward each year, so if you opted in previously you do not need to opt in again.

Whether or not you have your W-2 mailed, all employees have access to the form online in an IRS-approved PDF format that can be printed and sent with your tax return. 

Benefits of Receiving Form W-2 Online 

  • You get your W‐2 statement earlier than the traditional paper process.
  • Your W‐2 won't get lost, stolen, misdirected, or delayed during mail delivery or misplaced after you receive it.

Giving Consent to Receive the Electronic W-2 Is Quick and Easy

  • Sign in to MyU with your username and password (secure access login).
  • Click on My Pay.
  • Click on W-2/W2C Consent.
  • Click on the checkbox giving your consent to receive your W‐2 statement online.
  • Click Submit.
  • The system will then prompt you to enter your password, providing an extra level of verification. This is the same password you use to log in to MyU.
  • You will receive an email from the University verifying your consent.

If you consent to receive your W-2 electronically, you won't receive a paper copy. If you don't consent, Payroll will mail you a paper W-2 no later than January 31, 2024, to the current home address on record.

Confirm Your Mailing Address for Your W-2 Mailing
If you do not opt in to receive your W-2 exclusively in an online format, please ensure your W-2 is mailed to the correct address. Verify your 
home address by going to the My Info tab in MyU. To make corrections, click on the pencil icon.     

At Tax Time, Don't Forget Form 1095-C (Proof of Health Insurance)
In January, you will get a Form 1095-C from the University. The form shows if you or someone in your family had health coverage through the University in 2023. If you enrolled in coverage, it lists your family members who were enrolled and the months they were covered. If you are a new or former employee and were covered by any other health plan during 2023, you may receive a separate form covering your period of service in that plan.

Keep this form with your other important tax information such as your W-2 and Form 1099. You will need the information to complete your 2023 federal income tax return, although you do not need to attach the form to your return.
